How DAVENS handles your information when you visit this website or contact us.

Who is responsible for your information?

DAVENS is responsible for the personal information collected through this website. To contact the person responsible for data protection at DAVENS, email enquiries@davens.co.uk and mark your message “Data protection”.

This notice covers website visitors, people making enquiries and business contacts. It explains our approach under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and applicable UK rules on electronic communications, as amended.

Information we collect

When you contact us, we receive the information you provide: your name, email address, company, optional telephone number, project location, selected service, project stage and description, together with any correspondence. If you email documents, we also receive their contents and any personal information they contain.

The contact form sends the details you enter to FormSubmit, which processes the submission and forwards it to our enquiries mailbox. FormSubmit and its spam-protection providers may process technical information such as your IP address, browser details and submission time. This website does not maintain a separate enquiry database.

Hosting services may process technical information such as requested pages, browser details, IP addresses and security events to deliver and protect the site. The form does not collect payment details or accept file uploads. Please do not send health information, identity documents, security-sensitive drawings or other unnecessary confidential information.

Why we use it and our lawful bases

  • Handling enquiries and discussing work: our legitimate interests in running the practice, responding to requests and communicating with prospective clients. If you are personally considering a contract with us, processing necessary to take steps at your request before entering that contract is our lawful basis.
  • Keeping the website working and secure: our legitimate interests in preventing spam, abuse and duplicate submissions, investigating faults and testing the enquiry process.
  • Meeting legal obligations: where a specific legal duty requires us to retain or disclose information.
  • Resolving complaints and protecting legal rights: our legitimate interests in understanding what happened and establishing, exercising or defending claims.

We consider these interests alongside your rights and use only information reasonably needed for the purpose. You can object to processing based on legitimate interests. We do not add enquirers to a mailing list, sell personal information or use enquiry details for advertising profiles. We do not make decisions with legal or similarly significant effects solely by automated means.

You choose whether to contact us. Without the required contact and project details, the form cannot be submitted and we may be unable to assess or respond to your request. Optional fields are labelled.

Who receives information?

Access is limited to authorised people at DAVENS and service providers who need it for the relevant purpose. Our website host provides website delivery and security. FormSubmit processes and forwards contact-form submissions; Apple iCloud+ handles messages in our enquiries mailbox. See FormSubmit’s privacy information for its handling of form data.

Information may also be shared with professional advisers, insurers or authorities where reasonably necessary for advice, a claim or a legal obligation. We do not publish enquiry submissions. Any sharing needed for a commissioned project will be explained as part of that appointment.

Where information is processed

Our technology providers operate internationally, so information may be processed outside the UK. Processing locations and transfer arrangements depend on the provider, the service used and the applicable account settings.

How long we keep information

We retain information only while it is needed for the purpose for which it was collected. For enquiries, this means the period needed to respond, resolve follow-up questions and decide whether work will proceed. When deciding whether a record must be kept longer, we consider any continuing project discussion, unresolved complaint, legal obligation or reasonably anticipated claim. We delete or anonymise information when those reasons no longer apply.

FormSubmit states that it retains form submissions for 30 days. Messages delivered to our mailbox are retained according to the enquiry criteria above. Project and accounting records have retention arrangements appropriate to the work and its legal requirements. Provider backups and security logs are subject to those providers’ retention arrangements.

Cookies and social links

This website does not set advertising cookies or use an external analytics service. Our hosting provider may process technical information for delivery and security. Contact-form submissions are sent to FormSubmit in the background, without taking you away from this website. We use a hidden spam-detection field and the provider’s submission checks; no reCAPTCHA is embedded on these pages. You can also email us directly.

Our LinkedIn and Instagram links are ordinary links, not embedded feeds or tracking widgets. Opening them takes you to a separate service whose own privacy and cookie rules apply. We will update this notice and provide any required choices before adding optional tracking technologies.

Your rights and complaints

Depending on the circumstances, you can ask to access or correct your personal information, request its deletion or restriction, object to processing based on legitimate interests, and receive or transfer certain information in a portable format. Where processing is based on consent, you can withdraw it without affecting earlier lawful processing. These rights have exceptions and do not always require us to delete every record.

Email enquiries@davens.co.uk with your request. We may need proportionate information to verify your identity. We normally respond within one month; if a lawful extension applies, we will explain why. Requests are normally free of charge.

Please contact us if you are unhappy with how your information has been handled. You can also complain to the Information Commissioner’s Office (ICO), the UK's data protection regulator. You do not have to give up that right to raise a concern with us first.
