Use existing drawings to guide investigation. Verify critical information and preserve the distinction between records, observations and assumptions.
Treat records as evidence with a history
A file labelled as-built may have been prepared from contractor mark-ups, a partial survey or an earlier refurbishment. Establish its source, date and verification status. The label alone does not establish that every route, duty or asset matches the current building.
Verify what matters to the next decision
Verification should be proportionate. A concept study may need system extents and major plant details. A new connection or replacement scheme may need specific dimensions, capacities and routes confirmed. Identify the consequences of an incorrect assumption and focus the survey effort accordingly.
Record differences clearly
Link observed differences to locations and evidence references. Preserve the original records and issue updates through an agreed revision process. Do not silently overwrite uncertain information. Distinguish site-verified items, information reported by others and assumptions carried forward for design.
Connect drawings to asset information
Consistent asset identifiers help drawings, photographs, maintenance records and schedules refer to the same equipment. Agree a manageable data structure before collecting large amounts of information. A short register with reliable identifiers can be more useful than a large spreadsheet full of unverified attributes.
Keep the information useful after the project
Agree editable and viewing formats with the people who will use the records. Explain what was checked and which gaps remain. When construction changes the installation, maintain mark-ups and evidence while work is accessible, then update the controlled record.
